01 · Raise the Concern
Informal resolution is available, but it is not required.
Learners are welcome to raise a concern directly with the instructor or an HRI representative when they believe a conversation may resolve the issue promptly. A learner may also proceed directly to a formal written grievance. No student is required to confront the person involved before filing a grievance.
02 · Submit a Written Grievance
Send enough information for HRI to review the concern fairly.
A formal grievance should be submitted in writing, preferably within 30 calendar days of the event or of the learner becoming aware of the issue.
Please include:
- Your name and preferred contact information.
- The course title, course date, and instructor, if applicable.
- A clear description of the concern and relevant dates or circumstances.
- Any supporting documentation you would like considered.
- The resolution or outcome you are requesting, if you have one in mind.
03 · Acknowledgment
HRI will confirm receipt of the grievance.
HRI will make reasonable efforts to acknowledge a formal written grievance within 3 business days. If additional information is needed to evaluate the complaint, HRI may request it from the learner or other individuals involved.
04 · Review
The concern will be reviewed objectively and on the available facts.
HRI will review the grievance, relevant course records, communications, policies, and any information provided by the learner or other involved parties. When reasonably practicable, a grievance will be reviewed by someone who was not directly involved in the matter.
If the grievance concerns the individual who would ordinarily conduct the review, HRI may designate another qualified person to review the matter so the complaint receives a fair evaluation.
05 · Written Response
Learners will receive a documented decision within a reasonable time frame.
HRI will normally issue a written response within 10 business days after receiving the grievance and the information reasonably necessary to review it. The response will summarize the determination and, when appropriate, the action or resolution offered.
If a matter requires additional time because of its complexity, availability of records, or the need to speak with other individuals, HRI will provide a status update and an expected response date. HRI will make reasonable efforts to complete the review within 20 business days.
06 · Reconsideration
A learner may request one review of the decision.
If the learner believes material information was overlooked, new relevant information is available, or the stated procedure was not followed, the learner may request reconsideration in writing within 10 business days of the initial decision.
HRI will review the request and issue a final written response, ordinarily within 10 business days after receiving the reconsideration request and any supporting information.
07 · Confidentiality & Non-Retaliation
Good-faith complaints may be raised without retaliation.
Information related to a grievance will be handled as privately as reasonably possible and shared only with individuals who need the information to evaluate, respond to, document, or lawfully address the concern.
HRI will not retaliate against a learner for submitting a grievance in good faith, participating in a grievance review, or requesting reconsideration.
08 · Other Rights
This process does not eliminate rights available outside HRI.
Nothing in this policy prevents a learner from using a complaint, appeal, feedback, or reporting process that may be available through an applicable licensing board, regulatory agency, continuing education recognition organization, or other authority.
